General Manager Assistant | Procter & Gamble- Cape Town, South Africa

Job Details:
The GM Assistant is accountable for:
*.Fostering the GM’s work effectiveness by managing his calendar, arranging domestic/intra-cluster and international business trips, submitting expenses reports and preparing top management visits and presentations in an efficient and proactive manner
*.Ensuring the Duracell team in the country works in a vibrant, productive environment and stays in touch through internal events
*.Leading the HR administration of the employees’ contract and benefits and acting as a first point of contact for the application of policies for line managers and employees.
Key Responsibilities:
1. GM Administrative support (expense, travel, emails and mail management), including managing calendar and deciding who gets time/priority
2. Organize travel (domestic and international) arrangements, with required visa letters
3. Track and monitor travel budget and flagging over/underspending to the GM’s attention
4. Organize full logistics and partnering to develop content of internal team meetings, with or without agency
5. Partner effectively with suppliers to ensure the office is always fully functioning, perfectly set-up for the team and overall a great place to work.
6. Ensure proper information sharing and communication with the team from the tools/system that will be chosen
7. Be the single point of contact for management visits managing hotel booking to store check, meals, etc..
8. Partner with external payroll provider to deliver monthly employee pay and benefits. Ensure employee data is maintained up-to-date and required enrolments to social plans are handled on time and with full accuracy
9. Manage the new hires integration process, from contract creation to onboarding
Continuously build knowledge of regional and local policies and guidelines to act as an advisor to managers and employees
Qualifications
1.Has a strong bias for action: acts with a sense of urgency and determination, focusing on the end result and removing barriers. Focuses his/her attention on the most important priorities as aligned with the GM and has an efficient follow-through
2.Collaborates efficiently across the different teams. Always look for win-win solutions that truly respect the individuals. Partners with the other GM assistants across to support at best the GM.
3.Listens to understand the GM and team members’ needs and turns those insights into actions and required tasks
4.Is flexible and adaptable. Manages ambiguity or lack of clarity with calm and adjust to fit with changing situations
